Job Description

A large local group of companies is looking for 

  • Contract Duration: 9 months (extendable based on performance)
  • Start Date: September (Immediate Joining Preferred)
  • Visa Preference: Own Visa Preferred

Key Responsibilities:

  1. Handle day-to-day long-term inquiries (inbound) and manage the renewal process for existing leases.
  2. Prepare and send quotations, follow up on them, negotiate with clients/management, and work to convert inquiries into agreements.
  3. Maintain and update lead reports, and present them to management during weekly meetings.
  4. Prepare leases according to SOPs, secure necessary approvals, and manage special approvals as per Delegation of Authority (DOA).
  5. Reconcile in-house reports between Opera and ERP systems.
  6. Manage and update the Master in-house yearly lease report, reconciling with Opera and ERP systems weekly.
  7. Assist the Finance Department with the aging report, ensuring that overdue balances are followed up.
  8. Coordinate invoice requests, credit notes, refunds, asset transfers, legal instructions, credit facility applications, purchase requests, etc.
  9. Oversee lease renewal processes, including rate recommendations, renewal notices, follow-ups, negotiations, and payments.
  10. Coordinate between Leasing and Admin divisions, ensuring effective turnaround of lease processes.
  11. Perform competition research and analysis, submitting reports and recommendations to management.
  12. Prepare and maintain accurate tenant profiles and databases.
  13. Assist with the needs of corporate and individual guests.
  14. Work with the marketing department to develop sales kits, marketing collateral, and fact sheets.
  15. Coordinate handover with technical and facility teams to ensure a smooth transition post-lease.
  16. Update inventory reports and follow up with the sales team on proposal statuses.
  17. Collaborate with other departments to ensure efficient leasing operations.
  18. Arrange meetings with Venue Management and keep records of events for potential residential bookings.

Required Knowledge, Skills, and Abilities

  • Sales Coordination: Expertise in handling long-term inquiries, lease renewals, and converting leads.
  • Administrative Management: Proficient in maintaining lead reports, updating databases, and coordinating between departments.
  • Negotiation: Skilled in negotiating terms with clients and management.
  • Financial Coordination: Experience assisting finance teams with aging reports, overdue balances, and invoicing.
  • Data Management: Ability to reconcile reports, maintain inventory, and manage tenant databases.
  • Communication: Strong communication skills for liaising with departments, clients, and management.
  • Marketing Collaboration: Experience in working with marketing teams to develop sales materials.

Education Qualification

  • Degree: Bachelor’s Degree in Business Administration or a related field.
  • Experience: Minimum of 3 years of experience in Sales and Administration, preferably in a similar industry.
