Scope of Work:
• Media Registration:

In the pre-show phase, work closely with the PR lead to handle media accreditation, vetting, and registration inquiries;

During the event, assist with on-site media registration and badge distribution. Ensure all approved media receive confirmation emails and possess all necessary information for printing their badges and accessing the event halls.
• Media Relations:
-
Support the PR lead by handling media inquiries (reactive);
-
Sourcing relevant information from exhibitors and speakers in coordination with Sales/Conference teams to brief the media via email or phone calls, ensuring comprehensive and timely communication (proactive).
• Hosted Media:
-
In the pre-show phase, assist the PR lead by collecting information from the conference program and exhibition features to be used in the country/industry-

Specific content materials and media resources for the delegations;
-
During the event, provide full support to the PR lead in guiding hosted media on-site, content provision, logistics, and addressing urgent PR-related issues.

Utilize demonstrated problem-solving skills for effective daily logistics coordination and media support.
• Content Creation and Management:
-
Assist in sourcing strategic information from exhibitors and speakers to help the PR lead craft tailored PR messages, angles, and stories for both registered and hosted media;
-
Manage the distribution of press releases under the supervision of the PR lead;
-
Continuously update the digital press kit;
-
Continuously update the (website) with new press releases, images, videos, and fact sheets from organizers, exhibitors, and speakers.
• Logistics:
-
Collaborate with the PR lead to ensure smooth logistical operations during the PR campaign, including:
-
Press conference - media kits preparation and distribution, press release distribution (online), onsite support
-
Exhibitor media support, if necessary
-
Media badge printing - ensuring all hosted media badges are printed three days prior to the event;
-
Preparation of welcome kits and coordination of journalist transfers between venues and to evening events.
• Media Centre Operations:
-
Ensure smooth operations within the media center at all event venues.
Testimonials, Media Monitoring, and Reporting:
-
Collect testimonials from hosted media (audio or video) at the program's conclusion.

Monitor media coverage and secure clippings for inclusion in the post-show report.
PR Barters:
-
Assist the PR lead in providing full support and securing the deliverables from the PR barters before and during the event to make the most of our partnership.
