Job Description

1. Administrative Coordination and Process Oversight

  • Oversee the intake, tracking, and allocation of all internal and external correspondence (e.g., from DG Office, CEO Office, MOE), ensuring efficient routing and timely resolution by the appropriate teams.
  • Manage the drafting, formatting, and quality assurance of official departmental documentation in both Arabic and English, including letters, reports, and formal submissions.
  • Facilitate and coordinate interdepartmental and strategic meetings, including preparation of structured agendas, oversight of action item tracking, and follow-through on deliverables.
  • Maintain a centralized and systematically organized repository of departmental records, ensuring data integrity, accessibility, and compliance with documentation standards.
  • Consolidate executive input and departmental updates for high-level presentations (e.g., Quarterly Department Reviews), ensuring alignment with strategic reporting requirements.

2. Performance Management and Compliance Tracking

  • Coordinate departmental performance cycles by managing the workflow of Individual Performance Contracts (IPCs) and related evaluation reports, ensuring alignment with organizational timelines.
  • Monitor progress on performance submissions, proactively addressing bottlenecks to ensure timely approvals and evidence-based reporting.
  • Maintain and safeguard digital records of performance documentation (e.g., IPCs, evaluation scores) in internal systems such as Spider, ensuring version control and audit readiness.
  • Aggregate and synthesize performance data for monthly and quarterly reporting cycles, supporting strategic review processes and operational dashboards.

3. Operational Support for Events and Strategic Engagements

  • Manage the administrative process for event participation, including preparation of visa letters, IPROC documentation, and coordination of related logistics in collaboration with internal stakeholders (e.g., procurement, HR).
  • Oversee the lifecycle of event-related activities from planning to post-event documentation, ensuring procedural compliance and timely execution.
  • Maintain structured documentation for all engagements to support audit trails, budget alignment, and institutional reporting obligations.

4. Systems Management and Data Governance

  • Administer internal data tracking systems (e.g., CRM), ensuring timely and accurate data input to reflect departmental activities and stakeholder interactions.
  • Generate administrative reports and analytical summaries that support decision-making, operational planning, and performance monitoring.
  • Ensure consistency and accuracy in data management practices, contributing to the reliability of management information systems and internal reporting tools.
