Job Summary
The Sales Back Office Executive – Order Processing is responsible for managing the end-to-end sales order cycle, ensuring accuracy, efficiency, and timely processing. The role involves close coordination with logistics, warehouse, operations, finance, and customers to ensure seamless order execution and proper documentation, particularly for Oil & Gas projects.
Key Responsibilities

Accurately process sales orders and ensure timely entry into the ERP system (SAP, Oracle, or similar).

Coordinate with logistics and warehouse teams to manage delivery schedules and arrangements.

Manage third-party/customer inspection scheduling and handle related documentation.

Prepare and issue invoices in compliance with company and customer requirements.

Handle post-order retention documentation and facilitate retention claims with Oil & Gas clients.

Maintain accurate records of orders, invoices, and retention claims for audit and reporting purposes.

Serve as a liaison between sales, operations, finance, and customers to ensure smooth information flow.

Support the sales team with post-order customer communication and updates.
Qualifications & Skills

Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.

3–6 years of experience in Sales Coordination, Order Processing, or Back Office roles — preferably within manufacturing, EPC, or the Oil & Gas sector.

Strong knowledge of order processing, invoicing, and customer documentation requirements.

Familiarity with retention claim processes for Oil & Gas projects.

Proficiency in ERP systems (SAP, Oracle) and MS Office Suite (Excel, Word, Outlook).

Excellent communication, coordination, and customer service skills.

Detail-oriented, highly organized, and capable of managing multiple tasks effectively.
